Privacy Policy

Last updated 3 October 2026

This policy explains how LabPi Technologies, Inc. (“LabPi”, “we”, “us”) handles personal information on labpi.io and when you create or administer a LabPi account. Laboratory records that a customer loads into the product are covered separately, in the customer agreement.

Who we are

LabPi provides a cloud laboratory information management system and related websites, demos, and support. This policy applies if you browse labpi.io, request a demo, receive marketing from us, apply for a role, visit us at an event, or use LabPi as a named user of a customer account.

What this policy covers

It covers personal information we collect in these situations:

  • Website visitors and people who submit a demo, contact, or newsletter form.
  • Prospects we meet at events or who ask us about the product.
  • Account administrators and named users, for login, billing contacts, and support.
  • Job applicants.

It does not limit rights you have under applicable privacy law. If you do not agree with this policy, do not submit personal information through the site.

Customer laboratory data

Labs use LabPi to store samples, results, reports, and, depending on the lab, patient, donor, or employee information. That content (“Customer Data”) belongs to the customer. LabPi processes Customer Data to provide the service the customer ordered.

The customer decides what to upload, who may access it, and which notices or consents its own patients, clients, or staff require. Questions about a result, a report, or a record inside a lab’s LabPi tenant should go to that lab. Where a data-processing addendum or, for U.S. healthcare customers, a business associate agreement is in place, that contract governs Customer Data. This website policy does not.

Information we collect

Information you give us:

  • Name, work email, phone number, job title, organization, and the message on a demo or contact form.
  • Account details such as name, email, role, and authentication data for named users.
  • Billing contacts and subscription details. Card numbers are collected by our payment processor, not stored in full by LabPi.
  • Support conversations, call notes, and files you attach to a request.
  • Applicant information you send when you apply for a job.

Information collected automatically:

  • IP address, browser type, device type, referring page, and pages viewed on labpi.io.
  • Approximate location derived from the IP address.
  • Product usage events for signed-in users, such as sign-in time and feature area, used to operate and secure the service.

We may also receive business contact details from event organizers, partners, or public professional sources, and use them to talk about LabPi with people who work in laboratories.

How we use information

We use personal information to:

  • Respond to demo requests, support questions, and other inquiries.
  • Provide, secure, and improve the LabPi service and website.
  • Authenticate users, prevent abuse, and keep audit logs of account administration.
  • Bill for subscriptions and keep tax and accounting records.
  • Send service messages you cannot opt out of, such as security notices and changes to these terms.
  • Send product updates and event invitations. You can unsubscribe from marketing at any time.
  • Evaluate job applications.
  • Comply with law and defend legal claims.

Where the law requires a legal basis, we rely on steps toward a contract (a demo or subscription), our legitimate interest in operating and securing a B2B website, consent where we ask for it, and legal obligations.

Cookies and analytics

We use cookies and similar technologies that are needed to run the site, remember preferences, and understand which pages help laboratories evaluate LabPi. We use a privacy-respecting approach to analytics: aggregated page statistics, not a sale of browsing profiles.

You can block or delete cookies in your browser. The site will still load. Blocking essential cookies can affect sign-in or form submissions. We do not respond to browser “Do Not Track” signals, because there is no consistent industry standard for them. You can still reject non-essential cookies in the browser.

How we share information

We do not sell personal information. We share it with:

  • Infrastructure, email, support, analytics, and payment vendors who process it only on our instructions.
  • Professional advisers such as lawyers and accountants, when needed.
  • A buyer or investor in connection with a merger, financing, or sale of the business, under confidentiality duties.
  • Authorities when the law requires it, or when needed to protect LabPi, our customers, or the public.
  • Event co-hosts, when you register for a joint webinar and we say so at registration.

Customer Data is shared only as the customer configures the product (for example, a client portal the lab turns on) or as the customer agreement allows.

International transfers

LabPi is used by laboratories in more than one country. We and our vendors may process personal information in the United States and other countries where we or they operate. When we transfer personal information from a country that requires a transfer safeguard, we use an appropriate mechanism, such as standard contractual clauses, for that transfer.

How long we keep information

We keep personal information for as long as needed for the purpose we collected it, including the life of an account, a reasonable period afterward for support and security, and longer where tax, accounting, or legal claims require it. Marketing contacts are kept until you unsubscribe or ask us to delete them, subject to those exceptions. Customer Data is retained for the subscription term and the export or deletion window in the customer agreement.

Security

We use administrative, technical, and organizational measures designed for a multi-tenant laboratory platform, including access control, encryption in transit, and logging. No method of transmission or storage is perfectly secure. Customers are responsible for their own user administration, including who they invite and how they protect passwords. How those measures relate to laboratory accreditation and FDA electronic-record rules is described on the Security and compliance page.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or export personal information we hold about you, to object to or restrict certain processing, and to withdraw consent. You may also complain to a supervisory authority. We will not discriminate against you for exercising a privacy right.

Email privacy@labpi.io. We may need to verify that the request comes from you. If we process the information only as a service provider for a lab, we will direct you to that lab or forward the request if we are allowed to. Marketing email includes an unsubscribe link. Service and security mail will continue while you have an account.

Children

LabPi is a business product. The website and the service are not directed at children under 16, and we do not knowingly collect personal information from them. Contact us if you believe a child has submitted information and we will delete it.

Changes

We will post updates on this page and change the date above. If a change materially affects how we use personal information already collected, we will provide a more prominent notice, such as an email to account owners or a banner on the site.
